Terms and Conditions
These are the terms for hiring a self-drive vehicle from Ruby Travels. They restate the rental agreement you sign at handover, in plainer language. Please read sections 3 to 15 before you book — they cover the deposit, cancellation, damage and penalties.

This website is operated by Ruby Travels, a rental service for motor vehicles, at Ruby Travels, Door No. 4-98/3, Near Ruby Cottage, 4th Block, Katipalla, Surathkal, Mangalore 575030, D.K. District, Karnataka.

In these terms, we and Ruby Travels mean the business above, and you or the Renter means the person who books and hires a vehicle.
When you collect a vehicle you also sign our Vehicle Rental Agreement. These terms and that agreement are intended to say the same thing. If the two ever differ for a particular hire, the signed agreement applies to that hire.
2. Booking through this websiteA booking is a request. It is confirmed only after we review it.
Submitting the booking form creates a request, not a confirmed hire. We check the vehicle, your dates and your documents by hand, and your booking is confirmed only when we tell you so by email.
Before your request reaches us for review, you pay the vehicle’s refundable security deposit. Rental and GST are not collected on this website; you pay those to us directly.
We accept the deposit by UPI, or by bank transfer where those details are shown. There is no online payment gateway on this site. Every payment is checked by a person, so opening a UPI app or uploading a screenshot never means the payment has been verified.
Prices, kilometre limits and availability shown on the website are the current published figures and may change before your booking is confirmed. If anything material changes, we will tell you before confirming.
3. Documents you must provideOriginal Driving Licence and Aadhaar, held with us during the trip.
You must produce your valid original Driving Licence and Aadhaar. These are kept with Ruby Travels during the hire for security and returned to you at the end of the trip.
If you cannot provide the originals, you may provide original copies together with a ₹5,000 deposit, which is returned after the vehicle is returned.
The vehicle may be driven only by the registered Renter. If an accident happens while an unregistered person is driving, the registered Renter is responsible for the entire damage cost and any legal proceedings.
4. Security depositRefundable, paid before delivery. Toll, damage and penalties come out of it.
You pay a refundable security deposit at the time the vehicle is delivered or collected.
We deduct from the deposit any toll gate or FASTag charges, damages and penalties arising from your hire. The balance is returned to you.
5. Checking the vehicleInspect it at handover and return it in the same condition.
It is your responsibility to inspect the vehicle when it is handed to you, and to return it in the same condition. If any damage occurs, you are responsible for the cost.
Inspect the vehicle again before you hand the keys back. Ruby Travels is not responsible for any loss or theft of personal property belonging to you or your passengers, regardless of fault.
Return the vehicle reasonably clean. If it is returned very dirty, a washing charge of ₹650 applies.
6. Kilometre limit and extra chargesTypically 250 km per day. Beyond that, per-kilometre charges apply.
Kilometre use is limited per day — commonly 250 km per day, though some vehicles are offered at 200 km or 150 km per day. The limit for your vehicle is shown on its page and on your agreement.
If you exceed the limit, an extra-kilometre charge applies at the rate for that vehicle.
7. FuelYou pay for fuel. Return it at the same level; no refund for extra.
All fuel during the hire is paid by you.
Return the vehicle at its original fuel level. If there is less fuel than at handover, you pay the shortfall. If you return it with more fuel, no refund is given.
8. Changing, shortening or cancellingCancel within 30 minutes of booking for a refund. Otherwise no refund.
Extending: if you want to extend the rental period, you must tell us at least 4 hours before the hire ends.
Shortening: a rental period cannot be reduced once booked. If you return early, no refund is given.
Cancelling: to be eligible for a refund you must tell us within 30 minutes of making the booking. After that, no refund applies.
Not turning up: if you have not arrived within 1 hour of your booking start time, the booking is cancelled and no refund applies. You may instead choose any other vehicle that is available at that time.
9. Returning late30 minutes grace, then ₹250 per hour minimum or a full day.
Every hire includes a 30 minute buffer at the end. After that, extra-hour charges apply at a minimum of ₹250 per hour, or a full day’s rent may be charged instead.
10. Tolls and FASTagYou pay tolls used during your trip, including 5% GST.
If FASTag is used during your hire, you pay that amount at the end of the trip, including 5% GST.
If there is a problem with the FASTag, you must pay the toll in cash. Money already paid by Ruby Travels is not refunded.
11. Travelling outside KarnatakaTell us first and obtain a Temporary Permit, or you pay every cost.
To travel to another state you must inform Ruby Travels and obtain a Temporary Permit from the check post authority. You are responsible for all state permits outside Karnataka.
If you travel interstate without a Temporary Permit, you are liable for the penalty and every associated cost. If rules are broken, you are responsible for vehicle damage, third-party damage, RTO penalties and any court case. Unpaid amounts may be pursued through legal action.
12. GST and invoices5% without input credit, or 18% if you need to claim it.
Hire is taxed at 5% GST with no input tax credit.
If you are GST registered and wish to claim input tax credit, the applicable rate is 18%. You can request this during booking and we will collect your business name, GSTIN and billing address.
A GST invoice is issued only after all rent has been paid with tax. Until then, any document you receive is a pro-forma invoice or a booking summary, not a tax invoice.
13. How the vehicle may be usedPersonal or business use only. No taxi work, goods, racing or illegal use.
The vehicle may be used for ordinary lawful purposes, personal or business.
- It may not be used as a taxi or to carry people for payment.
- It may not be used for races, exhibitions or any illegal purpose.
- Goods may not be transported in a passenger vehicle. Any loss or damage from doing so is your responsibility.
- You may not carry more people than the number of seats stated in the vehicle’s RC. If you do, the Renter and driver are responsible and no insurance claim can be made.
14. Driving rules and finesSpeed limits, seat belts, no drink-driving or smoking. Fines apply.
- Observe the speed limit of 70–80 km/h. Over-speeding and rash driving are prohibited. Statutory fines apply: ₹1,000 for two wheelers, ₹2,000–₹4,000 for light, medium and heavy vehicles, and ₹5,000 for a first racing or speed-trial offence, ₹10,000 for repeats.
- Drinking and driving, smoking and any other illegal activity in the vehicle are strictly prohibited. If the vehicle is found unclean on inspection, or evidence of drinking or smoking is found, a fine of ₹1,000 to ₹10,000 applies.
- Seat belts must be worn by everyone travelling.
- Do not park in a no-parking area.
You are responsible for any traffic violation during your hire. If the RTO issues a delayed notice for penalties incurred during your rental period, you must pay it immediately.
Other fixed charges:
- Removing or scratching the Ruby sticker: ₹1,000
- Lost key: ₹2,000 to ₹10,000
- Missing vehicle papers: ₹500
- Missing tools: the replacement cost of the tools
15. Accidents and damageReport immediately, file an FIR, use the showroom only. Costs fall to you.
You are responsible for any damage to the vehicle during your trip.
If another party is involved: photograph the accident spot, notify Ruby Travels immediately, and file an FIR or GD entry at the nearest police station so insurance can be claimed. Without this you are responsible for the entire damage cost. If you reach a compromise with the other party, you must give us a compromise letter sealed by the local police station.
Who pays for repairs:
- Repair cost below ₹1,00,000 — you pay the entire cost.
- Repair cost above ₹1,00,000 — insurance is claimed, but you pay any amount above what insurance covers, plus 50% of the daily rent for each day the vehicle is off the road.
- Total loss— you pay the difference between the vehicle’s present market value as declared by Ruby Travels and the IDV set by the insurance company.
Repairs must be carried out at an authorised showroom, not a local garage, and breakdown rent charges must be paid in full. Once the work is complete the vehicle is handed back to Ruby Travels. If there is any complaint about the work, you pay the charges Ruby Travels states, and Ruby Travels may take legal action.
The person who collects the vehicle should be the person who returns it. If you send someone else, you remain responsible for any issue, damage, clearance or unpaid rent.
16. Our responsibility to youWe are not liable for indirect losses, and not for your belongings.
We will provide the vehicle in a roadworthy condition and deal with you fairly. Nothing in these terms removes any right you have under Indian consumer law that cannot lawfully be excluded.
Beyond that, Ruby Travels is not responsible for indirect or consequential losses arising from a hire — for example missed appointments, onward travel, lost earnings or accommodation costs — or for property left in a vehicle.
If a vehicle becomes unavailable before your hire begins, we will offer you an available alternative or return the deposit you paid for it.
17. This websiteContent is for information. Photographs may be representative.
Vehicle images may be representative and the actual vehicle supplied may differ in colour or variant. Specifications, prices and availability are kept current but are confirmed for your booking by a person.
You agree not to misuse this website, submit false information or upload documents that are not your own. We may refuse or cancel a booking request where information appears false or the required documents are not genuine.
18. Changes, law and disputesKarnataka law applies. Courts at Mangalore have jurisdiction.
We may update these terms. The version published on this page when you make a booking is the version that applies to it, and the date above shows when it last changed.
These terms are governed by the laws of India. Any dispute is subject to the jurisdiction of the courts at Mangalore, Karnataka.
